Job Description:

The Events Executive at Orchids International School will play a crucial role in planning, organizing, and successfully executing multiple events in a city. The Events Executive will work closely with the Events Manager and other relevant stakeholders to ensure that all events are executed flawlessly, aligning with the school's objectives and enhancing its brand reputation. This person will also be responsible for corporate tie-ups across locations. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced, dynamic environment.

Basic requirements for the position

2. Can speak good English, can do cold calls on corporates, can write emails and take an appointment

3. Wear a suit and present company offerings to corporates

4. Can work on weekends. Can work till late evenings whenever needed for events. Week off will be given.

5. Extrovert: can make sales pitches in all kinds of setups

Responsibilities:

Event Planning and Coordination:

- Assist in developing event concepts, themes, and objectives for various events in the city.

- Conduct thorough research to identify suitable venues, vendors, and service providers.

- Coordinate logistics, including event timelines, budgets, and resource allocation.

- Collaborate with the Events Manager to ensure proper documentation and adherence to policies and procedures.

- Assist in creating event marketing plans and coordinating promotional activities.

Event Execution:

- Oversee on-site evens, ensuring all event elements are executed according to plan.

- Coordinate event setup, including venue layout, signage, audio-visual requirements, and equipment.

- Manage event registration, attendee check-in, and coordination of special requirements.

- Monitor event progress, troubleshoot issues, and ensure a seamless attendee experience.

- Coordinate with internal teams and external stakeholders to ensure smooth event operations

Event Evaluation and Reporting:

- Conduct post-event evaluations to gather feedback and identify areas for improvement.

- Prepare event reports, including key metrics, attendee feedback, and event success measurements.

- Analyse data and provide insights and recommendations for future event planning.

Corporate Tie-ups:

- Identify corporate leads for partnership opportunities

- Prepare partnership deck as per customised requirements and present the same to clients for pitching.

- Collaborate with other stakeholders to ensure corporate leads are converted into admissions.

- Maintain the list of prospects and present monthly reports to senior management

Qualifications :

1. Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.

2. Proven experience in organizing and executing events, preferably in an educational or school setting.

3. Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously.

4. Attention to detail and a meticulous approach to event planning and execution.

5. Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.

6. Ability to work independently and as part of a team, with a proactive and flexible approach.

7. Willingness to work flexible hours, including evenings and weekends, to oversee event operations.
