Job Title: Sales and Project Coordinator
Overview:
The Sales and Project Coordinator plays a critical role in supporting the sales team and ensuring the smooth execution of projects. This position involves coordinating sales activities, managing project-related tasks, and serving as a liaison between the sales team and project stakeholders.
Responsibilities:
1. Sales Support:
- Assist the sales team in lead generation, prospecting, and client communication.
- Prepare and maintain sales documents, proposals, and presentations.
- Coordinate and schedule sales meetings and presentations.
2. Project Coordination:
- Collaborate with cross-functional teams to define project scope, objectives, and deliverables.
- Develop and maintain detailed project plans, outlining tasks, timelines, and resource requirements.
- Ensure projects are executed according to plan and within scope.
3. Client Communication:
- Act as a primary point of contact for clients, addressing inquiries and providing project updates.
- Coordinate client meetings and ensure effective communication between clients and project teams.
4. Sales Order Processing:
- Process sales orders and ensure accurate and timely invoicing.
- Collaborate with finance and operations teams to ensure seamless order fulfillment.
5. Documentation and Reporting:
- Maintain accurate and up-to-date project documentation, including project plans, status reports, and client communications.
- Generate regular reports on sales activities, project progress, and key performance indicators.
6. Task Tracking and Follow-up:
- Monitor and track project tasks, ensuring deadlines are met.
- Follow up with internal teams and clients to gather necessary information and ensure project milestones are achieved.
7. Quality Assurance:
- Implement and maintain quality assurance processes to ensure project deliverables meet established standards.
- Conduct regular reviews and audits to identify areas for improvement.
8. Resource Management:
- Work closely with resource managers to allocate and optimize resources for project tasks.
- Monitor resource availability and adjust plans as necessary.
9. Vendor Coordination:
- Collaborate with external vendors and suppliers for project-related activities.
- Ensure vendor performance aligns with project requirements.
- Drive discussions with product owner and/or business partners to understand the process, the problem, and then brainstorm solution scenarios
- Actively engage product owner or business SME to translate solution needs into actionable user stories
- Facilitate and support product backlog management
- Partner with product owners/SMEs to define & refine acceptance criteria
- Partner with developers on reviewing user stories for understanding and scoring
- Negotiate with product owners/business experts on alternative solutions
- Write test cases for user stories
- Perform/coordinate user acceptance testing to ensure functionality meets business needs before each product release
- Secure approval & change management activities with senior product manager or product owner before release
Qualifications :
- Bachelor's degree in Business, Marketing, Project Management, or a related field.
- Proven experience in sales support and project coordination.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficient in project management software and CRM tools.
- Familiarity with sales processes and project management methodologies.
